【ZYGO Business Unit - Administrator】

Job title: Administrator, ZYGO BU, Ametek Japan

Location: Tokyo office
Commuting allowance: Follow Ametek Japan policy

Overview
AMETEK Japan ZYGO Business Unit (Japan local staff for Zygo Corporation, Connecticut USA, www.zygo.com) is seeking a highly talented administrator to support our business growth. This position is responsible for providing administrative support processing orders, coordinating delivery, invoicing as well as coordinating with administrative staff at ZYGO headquarters.

Responsibilities
• Provide administrative support for the local operation coordinating activities involving customers, sales representatives and ZYGO sales and service personnel.
• Responsible for direct mail support activities including mailing literature and maintenance of customer mailing list.
• Facilitate customer orders from purchase order to shipment and billing on all products including the OEM product business. OEM product delivery preparation may include packing, creating labels, data sheets and shipping vouchers. Inform customer and sales representative of shipping date, anticipated delays and any additional information needed by the customer.
• Coordinate production schedule with factory and expedite orders when necessary to ensure timely shipment.
• Work closely with OEM customer on orders, shipments, and forecasts on a regular basis via telephone and e-mails.
• Coordinate with carrier, import and export agents for incoming and outgoing shipments.
• Keep all records of incoming shipments, inventory, and deliveries. Report order status and backlogs on a daily basis.
• Coordinate with accounting groups to support required financial activities and reports.

Minimum Qualifications
• Associate degree, plus 3+ years’ experience as an B-to-B administrator or sales assistant. OEM sales assistance experience at a foreign affiliate company is a plus.
• Excellent written and verbal communication skills both in Japanese and English.
• Strong PC skills and order process knowledge.
• Highly motivated and an excellent team player.
• Excellent telephone and personal presentation skills.
• A sense of urgency for getting the job done, properly and accurately.
• Must be able to work effectively with a minimum of supervision.
